How Job-Genie.ai collects, uses, and protects your information when you use our platform.

01 — Overview

Who We Are & What This Policy Covers

Job-Genie.ai ("Job-Genie," "we," "us," or "our") is an AI-powered job search platform that connects candidates with specialist recruiter-held opportunities. We help you analyze your resume, assess your recruiter fit, and surface live job listings from staffing firms that match your profile.

This Privacy Policy applies to all information collected through our website at job-genie.ai, our web application, email communications, and any related services (collectively, the "Platform"). By using the Platform, you agree to the practices described in this policy.

The short version: We collect what you give us (your resume, email, preferences) and data generated by your use of the Platform. We use it to run the service and improve your results. We do not sell your personal data. Ever.

02 — Data Collection

Information We Collect

We collect information in three ways: directly from you, automatically as you use the Platform, and from third-party sources when you connect them.

Information you provide directly:

  • Resume & career documents — when you upload your resume or CV for analysis, including work history, skills, education, and contact details contained within.
  • Account information — your email address, name, and password when you create an account or subscribe via Beehiiv.
  • Job preferences — role types, industries, locations, salary expectations, and remote work preferences you configure.
  • Communications — messages or feedback you send to us directly.

Information collected automatically:

  • Usage data — pages visited, features used, time on platform, clicks, and navigation patterns.
  • Device & browser data — IP address, browser type and version, operating system, screen resolution, and device identifiers.
  • Log data — server logs including access times, error logs, and referral URLs.
  • Cookies & similar technologies — see the Cookies section below for full details.

Information from third parties:

  • Beehiiv — subscription status, email engagement metrics, and newsletter preferences if you subscribe to our newsletter.
  • Recruiter listings — publicly available job listing data sourced from specialist staffing firms and recruiter networks (this is not personal data about you).
03 — Use of Data

How We Use Your Information

We use the information we collect for the following purposes:

  • Providing the Platform and core features (resume analysis, fit scoring, job matching) — using your resume, job preferences, and account info, on the basis of contract performance.
  • Delivering personalized recruiter-held job matches — using your resume, preferences, and usage data, on the basis of contract performance / legitimate interest.
  • Sending service emails and newsletter updates — using your email address and subscription status, on the basis of consent / legitimate interest.
  • Improving AI models and matching algorithms — using aggregated, de-identified usage data, on the basis of legitimate interest.
  • Customer support and responding to inquiries — using your communications and account info, on the basis of contract performance.
  • Fraud prevention and platform security — using device data, IP address, and usage patterns, on the basis of legitimate interest / legal obligation.
  • Analytics and platform performance monitoring — using usage data and log data, on the basis of legitimate interest.
  • Legal compliance and enforcement of our Terms — using all data as required, on the basis of legal obligation.

We do not use your personal data to train third-party AI models or sell insights about individual users to advertisers or data brokers.

04 — Sharing

Data Sharing & Disclosure

We do not sell, rent, or trade your personal information. We share your data only in the following limited circumstances:

  • Service providers — We work with third-party vendors who help us operate the Platform (hosting, email delivery, analytics, payment processing). These vendors are contractually required to use your data only for the services they provide to us and in accordance with this policy.
  • Beehiiv — our newsletter platform processes email addresses and engagement data for subscription management and delivery. Beehiiv's privacy policy governs their processing of that data.
  • Legal requirements — We may disclose your information if required by law, subpoena, court order, or government request, or where we believe disclosure is necessary to protect our rights, prevent fraud, or ensure the safety of our users.
  • Business transfers — In the event of a merger, acquisition, or sale of all or a portion of our assets, your data may be transferred. We will notify you via email or a prominent notice on the Platform if this occurs.
  • With your consent — We may share information with third parties in other circumstances with your explicit consent.

We never share your resume with recruiters without your knowledge. Job-Genie.ai surfaces recruiter-held listings and helps you identify fit. We do not forward your resume to recruiters or employers on your behalf without explicit action from you.

05 — Retention

Data Retention

We retain your personal data for as long as your account is active or as needed to provide the Platform. Specifically:

  • Account data — retained for the life of your account, plus 90 days after deletion to allow for account recovery.
  • Resume files — retained while your account is active. You may delete your uploaded resume at any time from your account settings.
  • Usage & log data — retained for up to 24 months in identifiable form, then aggregated or deleted.
  • Email/newsletter data — retained until you unsubscribe. Unsubscribing removes you from marketing communications but may not delete your account record.
  • Legal holds — where data must be retained for legal, regulatory, or dispute-resolution purposes, we will retain it for as long as required.

When we no longer have a legitimate need to retain your data, we securely delete or anonymize it.

06 — Your Rights

  • Portability — request your data in a machine-readable format.
  • Objection — object to processing based on legitimate interests, including direct marketing.
  • Restriction — request we restrict processing of your data in certain circumstances.
  • Withdraw consent — where processing is based on consent, you may withdraw it at any time without affecting prior processing.

California residents (CCPA/CPRA) have additional rights including the right to know what categories of personal information are collected and sold, the right to opt out of any sale (we do not sell data), and the right to non-discrimination for exercising your rights.

EEA/UK residents (GDPR/UK GDPR) may also lodge a complaint with your national data protection authority.

To exercise any of these rights, contact us using the details in the Contact section below. We will respond within 30 days.
